not wishful thinking. It is the goal that drives us. We are currently seeking a Facilities Associate to join our
Facilities team in San Mateo, CA.

Responsibilities

• Maintain San Mateo office to a Class A standard
• Regular walk-throughs
 Create tickets for issues and track through completion
• Coordinate and work closely with various vendors to resolve issues
• Communicate regularly with the Regional Facilities Manager
• Coordinate completion of additional light maintenance (mechanical equipment issues, hang boards etc., cleaning crew issues, lights, hot/cold calls, etc.)
• CAFM (Footprints/FM Interact/EMS)
• Capture all customer requests
• Manage tickets within assigned SLA dates
• Actively attend weekly CAFM Meetings
• Maintain accurate floor plans
• Perform regular occupancy/capacity walkthroughs
• Correct discrepancies by creating move tickets/editing room props
• Input new hire/move
• Shipping & Receiving
• Deliver Mail/Packages
• Deliver monthly Stamps.com report to Accounting department
• Conference Room/Guest Office Requests
• Manage requests when receptionist is out
• Complete conference room setups
• Maintain/stock guest offices
• Additional duties to include: moving conference room furniture, etc.
• Life Safety/Security
• Emergency Preparedness
• Maintain ERT documents
• Ensure ERT certifications do not lapse
• Organize certification training
• Maintain access cards within MyKastle for AIR staff, visitors, and vendors
• Invoicing
• Confirm goods/services delivered as billed
• Space Planning
• Work w/FM to assign space to new hires (temps, contractors, employees)
• Complete New Hire Tickets accordingly
 Update Room Info
 Deliver Starter Kit
 Install Nameplate
 Etc.
• Complete Departure Tickets Accordingly
 Ensure offices are clean
 Create & Complete Move Tickets
 Collect ERT bag (if necessary)
 Etc.
o Plan, coordinate, and manage internal moves under the guidance of the Facilities Manager
• Other Duties as Assigned
• Ergonomic Program Duties
• Report to/Assist the Facilities Manager with other projects as assigned
• Bagel Wednesday setup & cleanup
• Reception coverage when necessary and during regular breaks/PTO
• Maintain & Stock Kitchen(s)
 Place orders and service calls as needed
• Maintain & Stock Workroom(s)
 Place orders and service calls as needed
• Maintain & Stock Printer Area(s)
 Place orders and service calls as needed

Qualifications

• Four-year college degree from an accredited college or university in Facility Management or equivalent experience (required).
• Facilities Management/Maintenance Experience preferred
• Strong written and verbal communication skills
• Proficient in MS Office Suite
• Keen Attention to Detail
• Highly Developed Customer Service Skills
• Developed Critical Thinking Skills
• Ability to manage multiple projects simultaneously
• Ability to lift up to 50 lbs.
