Our Chicago office is currently seeking an Administrative Project Associate to provide support to projects and staff.
The primary objective of this role is to support staff in the Chicago office. The person in this role will interact with and support senior staff in the organization and correspond professionally (via phone and email) with external partners. Specific tasks are as follows: o Assist with project work, as needed o Maintaining and updating a reference database o Maintaining shared sites on the intranet o Conducting online searches o Hosting online meetings o Scheduling meetings (finding venues, coordinating with participants’ schedules) o Assist with meeting preparation o Ensuring invites and emails are sent out in a timely manner o Taking notes during meetings o Printing, collating, and preparing meeting materials o Book travel for staff and complete expense reports o Preparing mailings o Tracking online orders, communicating with customers o Making copies and assembling packets (or coordinating with DC production center to make copies) o Check project-specific email inbox regularly for emails o Maintaining the group’s contact list(s) o Sending emails to contacts; may include writing the first draft of emails o Ordering food when necessary
This position requires an individual who has at least 2 years of experience in a support position in a dynamic environment. We are seeking someone with a strong work ethic and a can-do attitude. This is a full time, on-site position in Chicago. We are looking for someone with: • Sound writing skills, must be able to correspond in a business appropriate manner without need for review/revision. • Strong note taking skills • Strong organization skills • Attention to detail • Proficiency with Microsoft Office suite of products, particularly Word, Excel, and PowerPoint • The ideal candidate will have experience with online platforms such as SharePoint, SurveyMonkey, and Mailchimp, although is it not required.
