American Institutes for Research (“AIR”) Assessment provides assessment services and technical assistance to school systems nationwide. We are currently seeking a Proposal Coordinator to join our team in Washington, DC.


    The responsibilities of the Proposal Coordinator include:

    • Support proposal development process for AIR’s Assessment program to include coordinating entire lifecycle of proposal process (e.g., identify bid opportunities, coordinate kickoff and subsequent meetings, track proposal development, and submit final proposals).
    • Identify bids that align with AIR Assessment’s work to develop and deliver statewide assessment projects, using a variety of internal and external bid identification/procurement sites.
    • Task the proposal team with roles and responsibilities for writing the proposal and organize proposal assignments.
    • Assist Proposal Manager and Proposal Lead with writing section drafts (as appropriate).
    • Work with Assessment team to gather resumes, create organizational charts, and complete annex sections for technical proposals.
    • Conduct in-depth review and quality control for proposal submission. Ensure proposal content aligns with requirements of RFPs.
    • Communicate with technical team and proposal writers to ensure internal deadlines are met.
    • Coordinate day-to-day proposal production activities, including scheduling proposal production plans and associated resources for final production.
    • Determine items that are behind schedule; identify barriers to progress; and plan and implement effective and efficient problem-solving and corrective action plans.
    • Oversee submission of final proposals for RFPs/RFQs/RFIs and Best and Final Offers.
    • Assist with updating/maintaining proposal and new business development materials.


    • Bachelor’s degree (Business/Marketing, Public Administration, Social Science, or similar field)
    • Strong research and analysis skills
    • Demonstrated initiative, flexibility, and attention to detail
    • Excellent communication (written and verbal) skills
    • Proven technology skills (Microsoft Office and Adobe Acrobat)
    • Ability to work independently and within groups effectively
    • Strong interpersonal and organizational skills
    • Time management skills and the ability to manage competing priorities under deadlines
    • Ability and willingness to occasionally work outside of normal business hours (only when necessary to meet a deadline)

    • 1+ years of related experience
    • Experience using a variety of federal, state/local, international, and/or foundation solicitation sites or tools (e.g.,,, client websites, RFPSchoolWatch, FindRFP, GovWin, FoundationSearch)
