Responsibilities

The Contracts Procurement Specialist requires handling the important administrative compliance functions of Data Entry, Database Management, Electronic Email-box Management and Federal, State & Local Reporting Requirements in various AIR and government systems.

The responsibilities will include at least the following core tasks:

  • Supplier Searchable Database Management
  • Managing the smallbusiness@air.org mailbox and incoming New Supplier forms
  • Data Entry of New Supplier forms
  • Managing the Supplier Annual updates for Reps & Certs and Insurance Certificates (SharePoint)
  • Contracts-Federalreports@air.org mailbox
  • Uniform Grant Guidance Annual Audit Mailing Management (AIR_UG_Audit@air.org mailbox)
  • Various State Contracts D&I Reporting
  • CPARS Entry and Management in cpars.gov/  
  • Subcontractor Conflict of Interest (COI) Management
  • Contract/Subcontract Closeout assistance
  • AIR/IMPAQ/Kimetrica liaison for Purchasing Process
  • Special, one-off assignments as required

Qualifications

  • BS/BA degree preferably in a business field
  • 4 plus years’ experience in Contracts &/or Procurement/Purchasing
  • Desired experience in Contracts & Procurement/Purchasing
  • Database Management and Data Entry
  • Mailing List Management
  • Proficient to Expert in Microsoft Suite – Word, Excel, SharePoint, Outlook-management of multiple mailboxes
  • Exceptional Organizational skills
  • Self-motivated and able to manage high volume, time-sensitive and schedule driven workload
  • Proficient business writing skills in professional environment
  • Experience Desired: Reporting in Federal Govt Systems eSRS, CPARS, FSRS/FFATA
  • Desired familiarity with Deltek CostPoint and IBM Cognos

 

Applicants must be currently authorized to work in the U.S. on a full-time basis. Employment-based visa sponsorship (including H-1B sponsorship) is not available for this position. Depending on project work, qualified candidates may need to meet certain residency requirements.
