Overview

The HR Services Associate is one of a highly effective and collaborative team in Human Resources Services that provides comprehensive administrative, operational, and logistical support to AIR’s employees.  The Associate will ensure that work performed, and improvements made to processes are aligned with AIR’s organizational goals and objectives, and that they meet or exceed customer expectations.

Responsibilities

  • Supports the administration of the new hire onboarding lifecycle process to promote compliance, culture, and connection to AIR.
    • Administers the background investigation process for applicants who receive job offers in Info Cubic system to meet Orientation deadlines.
    • Ensures offer key data is accurate and coordinates with Recruitment team to track new hires in the iCIMS Applicant Tracking system and in AIR’s enterprise Infor system.
    • Creates accurate offer letters and releases to candidate for acceptance.
    • Imports new hire data from iCIMS system to Infor system of record within stated timeframes and ensures the integrity and accuracy of new hire data.
    • Manages new employee information and weekly reports to support the tasks of FM, IT and Onboarding Teams.
    • Coordinates release of onboarding programs, including Onboarding Liaison assignment, sending pre-orientation materials, and maintenance of records in the Infor onboarding system.
    • Coordinates and leads delivery of AIR’s Orientation program to new staff.
    • Serves on Onboarding Committee/Project Team to help improve and build upon AIR’s Onboarding program.
    • Manages I-9 and e-Verify compliance for all new hires.
  • Reviews and approves benefit election information for new hires in Benefitfocus (My Benefits Portal) system within stated deadlines. Applies benefit knowledge to respond to respond to questions and guide employee decisions. Ensures benefit deductions are set up on ADP files for Payroll processing.
  • Works closely and cross-functionally with internal departments, such Recruiting, Payroll, Facilities, and IT to ensure the delivery of optimal services and products--both internally and externally to coordinate customer resolution.
  • Responds quickly and accurately to inquiries received into the HR Service Center (emails, Teams, phone calls, walk-ins) utilizing comprehensive HR knowledge of a wide range of policies and procedures within service level agreement timeframe.
  • Manages the dissemination of benefit plan information and communications, across all operational platforms, to include ongoing support of Benetips and MyBenefits Portal.
  • Audits new employee compliance course completions and follows up with employees monthly.
  • Supports the administration of the 403(b) and 457(b) Retirement Plans by auditing enrollment, tracking changes, and setting up deductions in the ADP Payroll system on a pay period basis.
  • Applies experience and judgment to resolve issues and more difficult questions/problems. Anticipates problems and probes beyond the stated situation to identify underlying issues and possible alternatives.  Recognizes and acts on inconsistencies in data.  Works to identify and support process improvement projects to maximize efficiencies and improve customer service. Escalates more complex issues to senior level team members or leadership.
  • Provides first and second level support to respond and triage Footprint tickets within the 24-hour service agreement timeframe.
  • Administer AIR relocation process for new employees to include coordination with relocation vendors, new staff, and close collaboration with the payroll team to confirm taxes are applied correctly.
  • Administers employee departure process. Includes saving Infor actions, sending out informational emails to the departing employee, conducting benefit exit briefings and serving as a liaison between our infrastructure partners for coordination of final pay.
  • Administers support to staff experiencing qualified life events to ensure compliance with documentation requirements and the associated benefit election process. Ensures benefit deductions are set up on ADP files for Payroll processing.
  • Completes and leads additional projects as requested.

Qualifications

  • BA/BS Degree in Human Resources, or 3+ years of experience in HR or related field
  • 3+ years of experience working in a professional environment with analytical and troubleshooting experience in an HR Service Center/HR operations or other centralized service area preferred
  • Demonstrated knowledge of employee lifecycle and basic employee benefits programs
  • Confident and engaging public speaker with strong presentation skills to lead organizational orientation sessions
  • Strong interpersonal communication skills (written and verbal) to communicate effectively in a collaborative team environment
  • Experience working with HRIS systems and reporting tools (iCIMS, Info Cubic, Infor, Deltek CostPoint, Benefitfocus, and ADP preferred)
  • Proficient in MS Office, with intermediate to advanced Excel skills (vlook up, pivot tables, etc.)
  • Experience with virtual meeting platforms such as MS Teams and Zoom
  • Demonstrated organizational and decision-making skills necessary to meet tight deadlines
  • Ability to prioritize and adjust to multiple tasks/demands and shifting priorities within tight deadlines in a high-volume work environment
  • High level of professionalism and demonstrated customer service skills
  • Produces high quality work and demonstrates attention to detail and quality
  • Ability and experience handling sensitive and confidential matters, documents and/or data while maintaining strict confidentiality.
  • Ability to perform duties on a regular, full-time basis and work extended hours/workweeks as needed with approval of a supervisor, to meet business and/or client demands.

Applicants must be currently authorized to work in the U.S. on a full-time basis. Employment-based visa sponsorship (including H-1B sponsorship) is not available for this position. Depending on project work, qualified candidates may need to meet certain residency requirements.
