Overview

The HR Services Assistant is one of a highly effective and collaborative team in Human Resources Services that provides comprehensive administrative, operational and logistical support to AIR’s employees.  The Assistant will ensure that work performed, and improvements made to processes are aligned with AIR’s organizational goals and objectives, and that they meet or exceed customer expectations.

Responsibilities

  • Promotes and maintains positive customer relations demonstrating attentiveness and professionalism. Provides courteous, informative response to routine and recurring staff questions and requests, concerning employee services (benefit and facility support). Provides support to senior level team members by researching questions.  Escalates more complex issues to senior level team members or leadership.
  • Provides first level support to respond and triage Footprint tickets within the 24-hour service agreement timeframe.
  • Supports pre-Orientation activities as requested.
  • Supports Orientation activities by preparing new employee onboarding materials, creating New Employee Information sheets, collecting and posting new hire profiles and pictures, E-Verify/I-9 support, completing new hire registry reporting requirements, ensuring new hire onboarding tour completion, and ensuring new hire paperwork received is uploaded to Onbase employee file.
  • Supports commuting benefits administration.
  • Creates and distributes AIR ID badges for new and existing staff across the organization. This includes providing and tracking badges for temporary staff and loaner badges and leading the notification process to Facilities for lost badges to maintain a secure work environment.
  • Provides support to the Temporary Staffing lead to onboard Temporary staff on their first day and ensuring compliance and training requirements are completed. Provides back-up support to Lead for full temporary staffing life cycle, as needed.
  • Provides support to the annual Summer Intern departure process. Includes sending out informational emails to the departing employee and conducting exit briefings.
  • Manages Federal and State Mandatory postings requirements for all AIR locations.
  • Provides support to reconcile and pay various operational vendor bills and purchase orders, to include benefits, by stated deadlines.
  • Administers the service recognition program to include coordination with vendor and internal stakeholders.
  • Scans and uploads personnel paperwork in appropriate files in OnBase. Has administrative oversight for maintaining up-to-date, orderly, and compliant employee files.
  • Performs general administrative support services such as sorting and delivering mail, collecting facsimiles, etc.
  • Performs other duties as assigned to support HR Operations and projects.

Qualifications

  • High School diploma required. Associates degree preferred.
  • Effective communication skills to communicate effectively with internal/external vendors/clients, staff and management with a strong customer service focus.
  • Outstanding administrative and organizational skills with at least one year of experience as an administrative assistant or experience supporting Human Resources.
  • Ability to demonstrate Initiative and good judgement in resolving issues affecting staff and clients.
  • Ability to adjust to multiple demands and shifting priorities.
  • Ability to maintain a strict level of confidentiality.
  • Deadline- and detail-oriented self-starter essential.
  • Ability to work as a member of a team as well as independently with minimum supervision.
  • Ability to work well with others in a collaborative, team-oriented environment. Interpersonal effectiveness, professionalism, and courtesy in dealings with co-workers and staff is essential.
  • Ability and aptitude to learn and navigate systems such as Infor, CostPoint, OnBase, iCIMS, ADP, and BenefitFocus.
  • Ability to perform duties on a regular, full-time basis and work extended hours/workweeks as needed with approval of a supervisor, to meet business and/or client demands.

Applicants must be currently authorized to work in the U.S. on a full-time basis. Employment-based visa sponsorship (including H-1B sponsorship) is not available for this position. Depending on project work, qualified candidates may need to meet certain residency requirements.
