Overview

AIR is currently seeking an experienced Project Support Associate to join the AIR Equity Initiative team.  The AIR Equity Initiative administrative and project support associate will provide essential organizational and administrative support to the team across portfolios. The incumbent will serve as the internal and external operational and administrative liaison for the team.

 

Candidates hired for the position may work remotely within the United States (U.S.) or from one of our U.S. office locations. This does not include U.S. territories.

Responsibilities

The responsibilities for the position include:

  • General Admin Support
    • Monitor the various AIR Equity Initiative program email accounts.
    • Organize and prepare materials for meetings with key internal and external stakeholders (examples of material preparation including but is not limited to drafting outlines, templates, checklists, PowerPoint presentations).
    • Meeting coordination, including but not limited to scheduling meetings, coordinating follow up activities from meetings, including distribution of information, minutes, and other communication activity.
    • Support research activities (e.g., conduct literature reviews, reference lists).
    • Prepare and format spreadsheets, figures, and tables.
    • Review and edit request for proposals (RFP) and grant process documents.

  • Grants and Contracts Support
    • Internal and External Grant competition support (assist program managers/officers in the coordination and monitoring of grant competitions).
    • Grants Management System Support.
      • Support with editing forms in the grant management system.
      • Reviewing invoices and purchase orders in grants management system.
      • Support with file management across platforms (Microsoft Teams, AirTable, grants management system).

  • Process requisitions, draft honoraria letters and process honoraria and check requests.

Qualifications

Education, Knowledge, and Experience:

  • Applicants should possess either a Bachelor’s degree, or an Associate’s degree with 1+ years of experience, or high school diploma with 2+ years of experience.
  • 2 years of work experience in an administrative or project support role.
  • Experience with database software (e.g. AirTable, MS Access) preferred but not required.

 Skills:

  • Expertise in Microsoft Suite (e.g. Teams, Word, Excel, PowerPoint)
  • Expertise with online meeting platforms (e.g. Zoom Meeting, Zoom Webinar) and content management systems (e.g. Google Suite)
  • Understands and values diversity
  • Works effectively with colleagues and clients from different backgrounds
  • Must possess organizational skills, attention to details, and ability to prioritize tasks
  • Effective communicator with strong interpersonal skills
  • Ability to work cooperatively and independently on detailed assignments
  • Comfortable working in a dispersed work environment

Applicants must be currently authorized to work in the U.S. on a full-time basis. Employment-based visa sponsorship (including H-1B sponsorship) is not available for this position. Depending on project work, qualified candidates may need to meet certain residency requirements.

AIR’s Total Rewards Program, is designed to reward our staff competitively and motivate them to achieve our critical mission. This position offers an anticipated annual salary of $26.00 - $33.00 hour. Salary offers are made based on internal equity within the institution and external equity with competitive markets. Please note this is the salary range for candidates that are based in the United States.
