Overview

Join AIR as a Legal Operations Specialist with our Legal Office. The Legal Operations Specialist will provide support to the Chief Legal Officer and will help manage legal department operations.

 

This is a hybrid position requiring candidates to work from our Rockville, MD, and Arlington, VA offices.

Responsibilities

 

The responsibilities for the position include:

  • Managing the archive of corporate and other legal records.
  • Support for corporate governance and the Chief Legal Officer’s role as corporate secretary in handling board records, documents, policies and communications.
  • Tracking engagement of outside counsel.
  • Processing purchase orders and invoices for outside counsel services and insuring compliance with billing guidelines.
  • Reporting claims to insurers and assistance with tracking insurance coverage.
  • Tracking of pending litigation and claims.
  • Processing of garnishments, subpoenas and similar orders.
  • Support for conflict of interest reviews and other compliance activities.
  • Manage projects for the legal function such as updates to required training on compliance topics and updates to templates and standard documents.
  • Other related tasks and projects as they arise.  

Qualifications

Education, Knowledge, and Experience:

  • Bachelor's degree OR Paralegal Certification from an accredited program.
  • Minimum of three years of experience working with lawyers in a legal practice setting (in-house, law firm, or government agency).
  • Experience working independently and effectively while demonstrating initiative and resourcefulness.  

 Skills:

  • Excellent interpersonal skills to ensure effective communication and ability to work with and respond to inquiries from internal staff members at all levels as well as external partners.
  • Strong attention to detail and commitment to accuracy when writing and in maintenance of records.
  • Excellent organizational skills to manage multiple activities with tact, confidentiality, and diplomacy.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, Teams, Zoom, and other web platforms.
  • Ability to handle multiple priorities and ensure timely follow-up.

Applicants must be currently authorized to work in the U.S. on a full-time basis. Employment-based visa sponsorship (including H-1B sponsorship) is not available for this position. Depending on project work, qualified candidates may need to meet certain residency requirements.

AIR’s Total Rewards Program, is designed to reward our staff competitively and motivate them to achieve our critical mission. This position offers an anticipated annual salary of $90,000 - $110,000. Salary offers are made based on internal equity within the institution and external equity with competitive markets. Please note this is the annual salary range for candidates that are based in the United States.
